Office Manager
Position Responsibilities:
Constant
- Act as office receptionist answer phones and greeting walk-in traffic, proving accurate information and taking detailed messages when further follow up is needed
- Assist Public with credits and exemptions applications, assessment information and map information.
- Retrieval of real estate transfer data from Recorder's office.
- Transfer of real estate sales data- i.e. change owner and sales information on computer software files
Frequent
- Prepare sales reports on a weekly, monthly and annual basis.
- Prepare reports for the public, appraisers and realtors.
Occassional
- Contact serviceperson for supplies and maintenance for printer and copier.
- Maintain copier accounts receivable and billing of accounts.
- Assist in a variety of mass mailings.
- Take notes in the field for Assessor or Deputies during property listing or review.
- Contact Auditor and Attorney offices about errors on transfers.

Education & Experience Required:
- High School Diploma or equivalent
Additional Preferred Experience:
- 2 years clerical experience/customer service experience.
- Basic knowledge of Real Estate laws and principles.
- Basic understanding of Legal Descriptions
- Familiarly with database management applications, including but not limited to: Vanguard assessment and Tyler software.
Skills Required:
- Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations.
- Excellent writing skills for reports, business correspondence and procedures manuals.
- Ability to maintain positive relationships by communicating verbally and in writing openly and professionally with internal and external customers including responding to questions via phone, e-mail and in person.
- Ability to work effectively in an environment of frequent interruptions.
- Ability to sort and process data.
- Excellent attention to detail to produce accurate, professional and error free documents.
- Ability to operate within established budgetary guidelines.
- Ability to access, input, retrieve, and output information from a PC for word processing and database applications, including specialized departmental software.
- Demonstration of a high level of organization and time management skills in order to meet deadlines in a fast paced, changing work environment and respond well under stress
- Ability to work both independently and collaboratively with team members
- Ability to maintain confidentiality with sensitive information
- Proficiently operate office equipment, including computer, printer, measuring devices, digital camera, adding machine, fax machine, copy machine, and multi-line telephone

The visual requirement of this job is similar to those classified as machine operators, inspection, close assembly, clerical and administrative. This is a minimum standard for use with those whose work deals largely with preparing and analyzing data and figures, accounting transcription, computer terminal, extensive reading, visual inspection involving small defects, small parts, operation of machines (including inspection), using measurement devices, assembly or fabrication of parts at distances close to the eyes.
This position may require flexibility to work additional hours beyond the typical workday when needed. This position may be required to attend classes that may be located outside of Benton County.
